How to Plan Packaging Sample Rounds Before China PO
Sourcing guide for planning packaging sample rounds before a China purchase order: structure, artwork, production, transit, approval ownership, and change-control gates.
Quick answer
Plan sample rounds by the decision each one must close: structural fit, visual finish, production capability, and transit performance. Do not ask a single “final sample” to validate all four when materials, artwork, and pack-out are still moving.
Build a sample matrix
List every SKU and component—retail carton, rigid box, insert, label, shipper, and pallet aid—then assign the sample stage, approver, required input, deadline, and pass/fail rule. This prevents a finished gift box being approved without its shipper.
Round one: structure and fit
Use white samples or plain materials to confirm dimensions, product insertion, lid clearance, divider fit, and assembly sequence. Freeze dielines and internal tolerances before expensive print or finish work.
Round two: visual and material
Approve color, paper, laminate, foil, emboss, adhesive appearance, and barcode placement on representative production materials. Screen PDFs and digital proofs do not replace a physical finish sample.
Round three: production trial
Request samples from the intended production method, including real die cutting, folding, wrapping, and glue. Compare them with the approved master and record measurable tolerances, not only subjective comments.
Round four: pack-out and transit
Pack complete products into retail and export cartons, then test stacking, abrasion, drops, and container-relevant humidity where appropriate. Approve the shipper and pallet pattern alongside the consumer pack.
Control changes and approvals
Maintain one revision-controlled approval log with artwork version, material code, photos, date, approver, and exceptions. Any post-approval substitute should trigger a defined re-approval gate.
